Project Description:
The City of Elk Grove (City) is accepting Bids from qualified Suppliers (Supplier(s)) for Heating, Ventilation and Air Conditioning (HVAC) Maintenance Services in accordance with the included specifications, terms, and conditions shown in the Invitation to Bid (ITB).

The proposed work will include the City’s current eleven (11) facilities.
1. 8380 Laguna Palms Way (Police Administration);
2. 8400 Laguna Palms Way (Police Department and Council Chambers);
3. 8401 Laguna Palms Way (City Hall);
4. 8900 Elk Grove Boulevard (Library);
5. 8978 Elk Grove Boulevard (Teen Center);
6. 10190 Iron Rock Way (Police Fleet Facility);
7. 10250 Iron Rock Way (Corporation Yard);
8. 9150 Union Parkway (Animal Shelter);
9. 9255 Disposal Lane (Special Waste Collection Center);
10. 8230 Civic Center Drive (Community Center/Senior Center); and
11. 9701 Big Horn Boulevard (Aquatics Center)

There are one hundred twenty-seven (127) HVAC units, and various other exhaust fans, vents, compressors, boilers, pumps, and heaters located throughout the eleven locations (listed above). Supplier shall perform service and maintenance for all units and components, which shall include, but not be limited to, the services listed on the Minimum Equipment Type Service Matrix attached hereto, and incorporated herein by reference, as Attachment A and B. There shall be no additional changes to make program changes such as set point adjustments or adjust holiday scheduling throughout the term of the contract.

Specialized Units:
The Police Department Dispatch Center located at 8400 Laguna Palms Way shall have installed Tackifire/Tridin MERV 13 fabricated pre-filters installed on AC Unit HP #3 in addition to the MERV 13 filters and changed per the Service Matrix schedule.

The Council Chambers located at 8400 Laguna Palms Way shall have the Energy Recovery Wheel annually cleaned utilizing a non-acid cleaner.

City Hall located at 8401 Laguna Palms Way shall be monitored remotely by the Supplier. Supplier shall have Carrier Comfort Network software at time of contract award for monitoring and programming of the facility HVAC system; verification of this software shall be provided to the City at contract award. There shall be no additional charges by Supplier to access the system to make program changes such as set point adjustments, adjust holiday scheduling or to troubleshoot the building’s system.

For the Animal Shelter located at 9150 Union Parkway, HVAC Units 1 thru 8, Supplier shall service the animal caging areas and shall have their MERV 13 Filters changed 6 times annually. Note Service Matrix Attachment C.

Square Footage:
Total square footage of the buildings is approximately one-hundred-fifty-five thousand (155,000) square feet. There is also fifty–four thousand (54,000) square feet that is warehouse space and not temperature-controlled. The 155,000 square feet is divided by restrooms, office space, conference rooms, lobbies, hallways, locker rooms, exercise rooms, cubicles, storage areas, and related space usage.
